General Terms and Conditions of Planet Gladiola

 

Article 1 Definition

  1. Under the name Planet Gladiola, Planet Awesome Nijmegen offers sleeping accommodations and related facilities during the Four Days Marches week (Vierdaagseweek) for guests participating as walkers in the Nijmegen Four Days Marches. Planet Gladiola is a trade name of Planet Awesome Nijmegen B.V.

 

Article 2 General

  1. These general terms and conditions supplement the General Terms and Conditions of Planet Awesome Nijmegen and apply, alongside those conditions, to every agreement concluded by guests of Planet Gladiola.

  2. By booking a sleeping place at Planet Gladiola, the guest accepts the applicability of the General Terms and Conditions of Planet Awesome Nijmegen.

  3. These conditions prevail over any other set of conditions that may be used by a visitor, unless otherwise agreed in writing. A reference by the guest to their own conditions is not accepted by Planet Awesome. Any purchasing conditions or general terms and conditions of the guest, by whatever name, are therefore not applicable unless expressly accepted in writing by Planet Awesome.

 

Article 3 Reservations

  1. Formation of the reservation: A reservation is established after correctly completing the booking process and receiving confirmation from the organization. The organization reserves the right to refuse a reservation without stating reasons.

  2. Payment: Payments must be made according to the instructions in the booking process. If payment is not made on time, the reservation may be cancelled.

  3. Personal nature: Reservations are personal and non-transferable without prior written permission from the organization.

  4. Changes and cancellation by the organization: Planet Gladiola reserves the right to cancel or change reservations in case of force majeure or insufficient interest. In such cases, the guest will be informed as soon as possible.

 

Article 4 Cancellations

  1. Cancellation costs: In the event of a cancellation of a reservation for accommodation (with or without breakfast), the following costs apply:

  • More than 3 months before arrival: 0%. The guest receives a full refund.
  • More than 2 months up to 3 months before arrival: 15%. The guest receives an 85% refund.
  • More than 1 month up to 2 months before arrival: 35%. The guest receives a 65% refund.
  • More than 14 days up to 1 month before arrival: 60%. The guest receives a 40% refund.
  • More than 7 days up to 14 days before arrival: 85%. The guest receives a 15% refund.
  • 7 days or less before arrival: 100%. The guest is not entitled to a refund.

  1. How to cancel: Cancellations must be submitted in writing or via email. The time of receipt of the cancellation counts as the moment of cancellation.

  2. Early departure: No refunds are given for early departure.

  3. Insurance: It is recommended to take out travel and cancellation insurance.

  4. Reservations & Changes: Reservations are only final after confirmation. Planet Gladiola may cancel reservations in case of insufficient interest or force majeure. In such cases, the guest will be informed in a timely manner.

 

Article 5 Acceptance of General Terms and Conditions of Planet Awesome Nijmegen and the Uniform Conditions for the Hotel and Catering Industry (UVH)

  1. Upon reservation, the guest accepts the General Terms and Conditions of Planet Gladiola. Additionally, the guest accepts the applicability of the General Terms and Conditions of Planet Awesome Nijmegen and the Uniform Conditions for the Hotel and Catering Industry (UVH) of Koninklijke Horeca Nederland.

  2. In cases not covered by these conditions, the General Terms and Conditions of Planet Awesome Nijmegen and the UVH of Koninklijke Horeca Nederland are leading.

  3. Planet Gladiola reserves the right to unilaterally change its own General Terms and Conditions.

 

House Rules Planet Gladiola

These House Rules supplement the House Rules of Planet Awesome Nijmegen and apply alongside them to the sleeping and stay facilities of Planet Gladiola during the Four Days Marches week. During this week, all regular activities of Planet Awesome are closed.

  • Access and Registration: Access is exclusively permitted for registered guests. Wearing a valid wristband is mandatory. Guests must provide identification upon request by Planet Gladiola staff.
  • Behavior: Aggression, intimidation, discrimination, and disruptive or unwanted behavior are not permitted. Instructions from Planet Gladiola staff must always be followed.
  • Rest and Sleeping Areas: To ensure the (night) rest of the walkers, guests in the sleeping areas must observe silence from 20:30 to 02:30. Music, phone use, or talking in the sleeping areas is not allowed during these hours.
  • Alcohol and Substances: The use and possession of drugs are strictly prohibited. Alcohol may only be consumed in the bar and in moderation.
  • Hygiene: Guests are expected to keep the areas clean and tidy. Waste must be disposed of in the designated bins.
  • Sleeping Berths: Only the use of assigned spots is permitted. Guests must follow the instructions given by Planet Gladiola staff.
  • Property: Luggage must be stored in the designated areas. Valuable items should not be left unattended. Planet Awesome is not liable for loss or damage to guests' belongings.
  • Smoking: Smoking is only allowed outside in the designated smoking areas.
  • Safety: Emergency exits must be kept clear at all times. In the event of an emergency, instructions from Planet Gladiola staff must be followed immediately. In an emergency, the building must be vacated immediately via the indicated routes.
  • Media: Photo and video recordings may be made during the event. These may be used for promotional purposes (advertising). By making a reservation, the guest gives explicit permission for the use of this visual material.
  • Liability: Use of Planet Gladiola's facilities is at your own risk. Planet Awesome is not liable for injury, loss, or damage to guests' belongings.
  • Violations: Violation of these house rules may lead to denial of access or removal without the right to a refund.
  • Acceptance: Upon reservation, the guest accepts these house rules as well as the house rules of Planet Awesome Nijmegen. In cases not covered by these House Rules, the House Rules of Planet Awesome Nijmegen are leading.
